Rotaract Meeting Minutes – May 14, 2012

Meeting Called to Order: 7:02pm

Recap - Conference
·         District Conference for all of District 5020, June 22-24 at the Victoria Conference Center. Rotaract program is alongside to engage Rotaractors in Rotary and bridge the connection between Rotarians and Rotaractors. Registration for rotaractors is free – 5 meals and many plenary sessions. Opening Ceremony is 4:00pm Friday, and a BBQ for Rotaractors will be at Beacon Hill Park at 6:00 pm. Saturday starts 7:00 am, 8:30 is the Rotaract Breakout Session with topics of attaining and retaining members, goals and projects completed by clubs. There will be a volunteer activity at 3:00 pm Saturday, followed by a Gala dinner at 6:00pm, followed by a pub/restaurant.

§  3 People in each breakout session to introduce and moderate the breakout sessions.

Rotary Roundtrip
·         Candidates are picked, insurance and visas are being reviewed and confirmed.
·         They will be staying overnight.

Year in a View:
·         Volunteering:
§  Scheduling for students is hard to achieve attendance
§  Difficulties may be in weekly/reoccurring events; rather, individual events would be easier to organize in our regular meeting times.

·         Speakers:
§  We want more speakers this year but some should be informative and educational rather than just charities. We will try to find a balance.
§  Charity speakers could give ideas on volunteering, events, projects. Eg. Evening to Inspire Gala Dinner by Young Entrepreneurs Society.
§  Fill every second week with a speaker and have a layout for the first semester, then ask members what other speakers they want brought in.
·         Meetings
§  Meetings are updates to all members, committees plan and organize projects and events and come to general meetings to address all members about the events, while previously organizing it all in a committee meeting.

·         Thank you to everyone for helping out at the event: Eric, Jasmin, Samantha, Lance, Bobby, Melissa. 10:00am – 2:00pm, 4 hours.

Clubs Council Update:
·         Ratified approximately $175.00 funding from UVSS for summer.

Dear New Generations Rotary District Chair,

The Rotaract Club of Victoria (Victoria, BC) is hosting the District 5020 Rotaract Conference to be run concurrently with the District 5020 Rotary Conference this June 22-24 at the Victoria Conference Center in the beautiful Fairmont Empress Hotel. Rotaract Clubs in your district have been personally invited to attend this Rotaract Conference, and by the generosity of our district leaders and conference organizers, registration for all Rotaract attendees is covered (regardless of district), including dinner Friday night, breakfast, lunch and gala dinner Saturday and breakfast Sunday. We think this will be a terrific opportunity for Rotaract Clubs to connect, share ideas and "Get Inspired" within the context of the Rotary International Family.

We've contacted all the Rotaract clubs that we were able to track down in the 2011/2012 directory, but this contact information isn't always current or complete, and we hoped that you might forward this invitation to those Rotaract Clubs that you know to be active or forming in your district. We recognize that there are numerous financial barriers associated with conference attendance, which is why we are striving to provide accommodations for Rotaract participants at the homes of local Rotaract members. We hope that if your district is in a position to do so, you may consider providing financial assistance for transportation in the event that your Rotaractors would like to attend.

§  Key Themes: Each club may take on a universal topic, but a topic that their club performs exceptionally at. Such as Communication within the club, Retention, Relationships with Rotary Clubs, How to create an exceptional project, Presence in Community i.e. “What is Rotary/Rotaract” typical question.
§  We have to refine questions and direction that we intend the session to go.

Mustard Seed:
·         Organize possible monthly event.
·         Bobby & Louise as event organizer.
